Introduction

Camp Go Lda. is a company registered in Portugal, under the number 517947994 and with the licence registration number from IPDJ, I.P. of 515/DRLVT. Camp Go specialise in the provision of childcare day camps during the school holidays. We take your privacy seriously and as such have laid out the following privacy notice in line with Portuguese Data Protection Law no. 58/2019 of August 8 and the General Data Protection Regulation (EU) 2016/679 of April 27, 2016. Camp Go acts as a Data Controller for the purposes of GDPR. This policy sets out how we will collect, use, and store any personal data. By using our services, you agree to be bound by the policies set out in this privacy notice. We will always respect and protect your privacy.

What personal data do we collect and why?

When you register with us for the first time you will create an online account on our secure system. We will collect your name, email address, phone number, home address and marketing preferences. We need to collect your personal contact information so we can reach you before, during and after camp should there be any problems with your child(ren) while they are in our care.

When you make a booking we require essential details about your child. The personal data we need to collect includes, but is not limited to, name, date of birth, gender, school, medical details, dietary information, and additional needs. This information is used to ensure that we have all the relevant information to best care for children. Our data processor, thinkBooker, may have access to this information as and when we request them to sort out any technical issues.  

When you contact us via phone, email, or web forms, we retain emails to track and respond to your submissions and may document phone conversations to act in your child's best interests. When you complete our optional surveys, we will keep a record of your answers to use for research purposes. When you interact with our social media channels, you may choose to ‘Like Us’ or ‘Follow Us’ in which case you will share your social media username with us.

When you apply for a job with us, we collect essential employment information such as previous employment history, experience, relevant qualifications, work eligibility, references, and medical information. You will also be required to undertake a criminal record check to ensure you are eligible to work with children.

Payment Information

To process your booking, we will collect and store information about payments you make to us including the date, amount, and method of payment. For your security, we do not store any payment card details within any of our systems as payments/refunds are handled by Stripe, our third-party payment processor. Website Visit Information

This website is hosted by Squarespace. Squarespace collects personal data when you visit this website, including information about your browser, network and device, web pages you visited before coming to this website, web pages you view while on this website and your IP address. Squarespace needs the data to run this website, and to protect and improve its platform and services. Squarespace analyses the data in a de-personalized form.

This website collects personal data for site analytics, including browser, network, and device information, as well as web pages visited before this site and IP addresses. Details of your site use, such as clicks, links, pages visited, scrolling, searches, and timestamps, are also collected and shared with our analytics provider, Squarespace, to analyse site traffic and activity.

Marketing Communication

If you have registered an account with us, we may use your data to contact you via email with information about offers, news, services, and products or to administer prize draws/competitions you may have entered or to send surveys or feedback requests. We will only do this if you have opted in to receive such information from us. You can opt out from any promotional, non-essential or marketing content at any time by clicking the unsubscribe link in an email or by contacting us directly.

We do not control these third-party websites and are not responsible for their privacy statements. When you leave our website, we encourage you to read the privacy notice or policy of every website you visit.

At times, we may use third parties to manage our data, for such services as de-duping, mailing, e-marketing campaigns, data analysis and profiling. Information is given securely and only to approved suppliers. These suppliers may include Mailchimp, SurveyMonkey, Facebook and Instagram.

Should any safeguarding concerns or legal proceedings require us to pass on your personal information we trust you will understand that we must comply with the law.

Social Media

We may occasionally arrange filming or photographs for use on our social media or other communications. All due care will be taken to ensure that no one appears in filming or content created by us without expressing consent to be included. If you find you do appear in error and would like an image or video of you to be removed from our social media channels or communication please contact us immediately.

How do we protect data?

Storage - Once data is received, we will take all reasonable steps to ensure your data is secure to prevent unauthorised access to it. All information you provide is stored on secure databases, our IT systems are password protected, and a hard copy of information at camp is stored within a secure staff room on site.

Transfer – Camp Go uses WeTransfer when sending confidential and sensitive information by email to customers or external suppliers/authorities. This is a cloud-based computer file service which encrypts the files and therefore cannot be intercepted.

Security and passwords - When you create an account with us you are assigned a Customer ID number. Your account will require an email and password so that you can access your details online. We advise your password should consist of at least six characters that are a combination of letters, numbers, and symbols (e.g.@, #, $, %). It should also contain letters in both uppercase and lowercase.

You will also need to set up a pick-up password for your child that you will need to quote when you contact us by phone. This is to ensure that information stored on your account is only discussed with you. If you can’t remember your pick-up password, we will not be able to disclose any information to you until we have been through some security questions to confirm your identity.

Please do not share your password or pick-up password with anyone. Unfortunately, the passing of data via the Internet is not completely secure therefore any transmission is at your own risk. Please keep these details safe and not written down anywhere. If you change your personal details or if you suspect that someone else has used your password or pick-up password, then please notify us as soon as possible.

How long do we keep data for?

We will not keep any personal data for any longer than is necessary for the purposes for which the personal data was collected or satisfying any legal, accounting or reporting requirements. We follow a personal data retention policy which determines how long we keep specific types of personal information. When the time arises, we securely delete and destroy all of the information we hold. Hard copies of personal data are shredded, and electronic copies are securely deleted. Whilst we may hold data for longer, we will only actively use this to contact you regarding our products and services within a maximum of 3 years after your last booking/enquiry with us.

If you’ve not used your account and made a booking with us for more than five years, it will be flagged as inactive, and we’ll contact you to ask whether you want to keep it open. Unless you reply to say ‘yes’, we’ll close the account on our booking system.

What are your rights over your personal data?

You have the right to request:

· Access to the personal data we hold about you and your child(ren).

· To amend your personal data when incorrect or incomplete.

· That we stop using your personal data for direct marketing.

· To be informed as to how we use and process personal data.

We reserve the right to update this policy from time to time and we will keep you informed by updating this statement on our website.
